About the Role

The Industrial Engineer – HSE Administration will work closely with the HSE team to provide end-to-end administrative and logistical support. Key Responsibilities

1. HSE Administrative Support

You will provide structured administrative support to the HSE department, ensuring smooth day-to-day operations. This includes organizing schedules, coordinating meetings, supporting safety campaigns, and ensuring that all HSE activities are properly documented and traceable.

2. Coordination of HSE Events and Campaigns

The role involves coordinating internal HSE events such as safety awareness campaigns, toolbox talk schedules, induction programs, and special safety initiatives. You will support planning, communication, attendance tracking, and post-event documentation.

3. Supplier Engagement and Communication

You will liaise with external suppliers, training providers, and service vendors, managing communications related to training, documentation, and procurement needs. This includes follow-ups, documentation verification, and record maintenance.

4. External Training Administration

A key responsibility is administering and tracking external HSE training certificates, ensuring all records are valid, up-to-date, and compliant with company and regulatory requirements. This includes maintaining training matrices and renewal schedules.

5. Purchase Order (PO) Processing

You will assist in creating, processing, and tracking Purchase Orders (POs) related to HSE activities, training programs, PPE procurement, and safety services. Accuracy and compliance with internal procurement procedures are essential.

6. Training Logistics Support

The role includes coordinating logistics for training sessions, such as venue arrangements, attendance records, training materials, certificates, and post-training documentation. You will ensure training activities run smoothly and are properly recorded.

7. Document Control and Compliance Records

You will maintain a structured HSE document control system, ensuring policies, procedures, forms, permits, and records are properly filed, version-controlled, and easily retrievable during audits or inspections.

8. Reporting and Presentations

You will prepare HSE reports, dashboards, and presentations for internal use. This may include training statistics, compliance summaries, audit findings, and safety performance updates using Microsoft Office tools.
